This page explains what the Alpha Family Portal collects, who can see it, how long we keep it, and the rights your family holds. It is written to be read — if anything here is unclear, that is a bug.
What we collect
Only what admissions and enrollment genuinely need: who your family is (guardians, households, your child), application answers, assessment results (CogAT + MAP), Shadow Day observations, and the documents you choose to share. Every access-relevant change is written to an audit log that cannot be edited afterward — by anyone.
Your child's record belongs to your family
Records are rooted to your child and never quietly closed. Access is scoped — custody arrangements are honored at every screen — and at 18, the record is handed to your child. That handover is a promise built into the database, not a policy paragraph.

Guardians on this account and the Alpha staff working with your family.
Never other families.
Learning-difference and health information

IEP, 504, and related documents live in an encrypted vault readable only by the Admissions Director and Registrar. They are never copied into marketing systems and never touched by automated screening.

How long we keep things

If your family doesn't enroll, application data is purged or anonymized on the schedule in our retention table (currently 24 months for declined or abandoned applications, pending counsel confirmation). Enrolled-family records follow education-records law. The full retention matrix is published in our compliance baseline.
Who we share with

A short list of processors (hosting, payments, email) under contracts that bind them to this policy — the subprocessor list is published on the Security page. We do not sell family data. Ever.
Your rights

The portal is for parents and guardians. There are no child-facing logins or child-directed surfaces, and none will exist without an explicit, counsel-reviewed decision.
